The problem and the outcome
Problem: Helpdesks drown in repeat questions, and employees wait days for simple access requests.
Outcome: Repeat requests answered instantly; the team works on real problems.
Architecture
How it works, step by step
- An employee asks in Slack or Teams about leave balance, VPN access or a laptop issue.
- A router component sends the question down the right branch of the flow.
- Policy questions are answered from the HR handbook with retrieval, citing the page.
- IT requests run approved tools, such as a password reset or a group-access request.
- Anything unresolved becomes a ticket with the conversation attached.
- The answer comes back in chat with its sources and the ticket number.
- The whole flow is built visually in Langflow and served to chat through its API.
Tech stack
- Langflow
- Slack / Microsoft Teams bot
- HR handbook retrieval
- Okta / Active Directory tools
- Jira Service Management / ServiceNow
Key design decisions
- A router sends each question to one branch: policy answers, approved IT actions, or a ticket.
- IT actions are a short allow-list (password reset, group access request) with the employee's identity verified.
- Unresolved requests become tickets with the conversation attached.
Common mistakes
- Answering from an outdated handbook.
- Letting the agent grant access without the usual approval workflow.
- No source shown, so employees cannot check a policy answer.
What to measure
- Deflection rate (resolved without a ticket)
- Time to resolution
- Employee satisfaction
- Wrong-answer reports
Most-asked interview questions
Subjective questions 32
1Design an HR and IT helpdesk agent in Langflow.Asked almost every time
Chat Input feeds a router (an LLM classifier or conditional components) that separates HR policy questions from IT requests. HR questions go to a RAG branch over the policy handbook with citations. IT requests go to an agent with safe tools (password reset link, VPN guide, software request form, ticket creation). Anything unresolved or sensitive creates a ticket with the conversation summary.
2How do you make HR answers trustworthy?Asked almost every time
Retrieve only from the current, approved handbook with version and effective dates, answer with citations, say when the policy does not cover a case and suggest contacting HR, and refresh the index whenever HR publishes changes.
3How do you decide which IT actions to automate?Asked almost every time
Start with high-volume, low-risk, reversible tasks with existing self-service flows (password reset links, MFA re-enrolment instructions, software catalogue requests). Keep privileged changes (admin rights, access to sensitive systems) as tickets with approvals.
4How do you decide which IT actions the bot may perform?Very often asked
Start with high-volume, low-risk, reversible actions that already have a clear process, such as password resets and requesting (not granting) access. Each runs through the same identity checks and approvals as the manual process, and everything is logged.
5How do you handle sensitive HR topics like harassment or medical leave?Very often asked
Detect them, respond with empathy and the right confidential channel, avoid collecting details in the bot, and route to HR immediately with minimal information and strict access controls.
6How do you authenticate employees in the helpdesk?Very often asked
Integrate with SSO (Azure AD, Okta, Google Workspace) so the bot knows who the employee is, their location and role, and personalises policies (country-specific leave rules) and permissions.
7How do you integrate with the ticketing system?Very often asked
Use the ITSM API (ServiceNow, Jira Service Management, Freshservice) as a tool to create, update and look up tickets with category, priority and conversation summary, and show the ticket number to the employee.
8How do you keep answers specific to the employee's country or office?Very often asked
Tag policy chunks with location and employee type, filter retrieval using the employee profile from SSO, and state which policy version applies.
9How do you measure the helpdesk's impact?Very often asked
Ticket deflection rate, resolution without human help, time to resolution, employee satisfaction, escalation accuracy and the reduction in repetitive tickets for the service desk.
10How do you prevent the bot from leaking confidential information?Very often asked
Index only documents approved for all employees, apply access filters by role for restricted documents, never retrieve personal records of others, and test with adversarial questions.
11How do you keep the knowledge base current?Very often asked
Assign owners to each document set, ingest updates automatically from the source system (SharePoint, Confluence, Google Drive), track stale content, and use unanswered questions to find gaps.
12How do you design the helpdesk so it can take actions, not just answer questions?Very often asked
Expose a small set of approved, well-scoped tools such as checking leave balance, raising a ticket, requesting software from a catalogue and checking ticket status. Each tool calls the source system with the employee's identity and permissions, and anything that changes access or pay goes through the normal approval workflow.
13How do you handle a question whose answer depends on the employee's role or grade?Very often asked
Read the employee's attributes from the HR system after sign-in, filter retrieval to policies that apply to their country, entity and grade, and state those attributes in the answer so the employee can spot a mismatch.
14How do you keep HR answers accurate?Often asked
Index only the official, current handbook, re-index when it changes, cite the section in every answer, answer 'I don't know' outside it, and route sensitive topics (grievances, health) to a person.
15What is ticket deflection and why measure it?Often asked
The share of requests resolved without creating a ticket for a person. It shows the bot's real value, but must be balanced with satisfaction and reopen rates, so the bot is not simply blocking people from getting help.
16What should the bot do when it cannot answer?Often asked
Admit it, offer the right contact or create a ticket with the question and context, and log the gap for content owners.
17How do you support multiple languages in a global company?Often asked
Use multilingual models and embeddings, answer in the employee's language while citing the original policy, and verify translations of key policies with HR.
18How do you handle password resets safely?Often asked
Do not reset passwords inside chat; send the official self-service reset link or trigger it through the identity provider's flow with MFA verification.
19How do you collect feedback from employees?Often asked
Ask for a quick rating after answers, capture comments, link them to traces, and review negative feedback weekly with HR and IT owners.
20Which Langflow components would you use for routing?Often asked
An LLM-based classifier prompt or Conditional Router components that check the classification and send the message down the HR or IT branch.
21How do you test the helpdesk before launch?Often asked
Collect real past tickets and HR questions, build an evaluation set with expected answers or actions, test routing accuracy, answer correctness and safe handling of sensitive topics, then pilot with one department.
22How do you announce and drive adoption?Often asked
Integrate the bot where employees already work (Teams, Slack, intranet), publicise top use cases, and make escalation to humans easy so trust grows.
23What logs are needed?Often asked
Question categories, retrieved documents, tool calls, tickets created and feedback, stored with privacy controls and retention limits.
24How do you answer questions about benefits that involve personal numbers?Often asked
Fetch the employee's own data through a tool with their identity, never from shared documents, combine it with the general policy text, and avoid storing the personal numbers in chat logs longer than necessary.
25How do you route a ticket to the right team automatically?Often asked
Classify the request into categories that match the ticketing system's assignment groups, fill the category, priority and summary fields, and let the team re-route if wrong; feed those corrections back to improve classification.
26How do you support managers with team-related questions?Often asked
Check the manager relationship in the HR system before answering about direct reports, limit answers to data managers are allowed to see, and guide them to approval tasks waiting for them.
27How do you handle a request that is urgent, such as a security incident or a lost laptop?Often asked
Detect urgent intents with keywords and classification, skip the normal Q&A flow, create a high-priority ticket immediately, give the employee the emergency contact steps, and alert the on-call team.
28How do you handle new joiners' onboarding questions?Sometimes asked
Create a dedicated onboarding collection (first-week checklist, equipment, benefits enrolment) and proactively surface it to employees in their first weeks.
29How do you estimate cost savings?Sometimes asked
Multiply deflected tickets by the average handling cost per ticket, subtract running costs, and include time saved for employees waiting for answers.
30How do you handle outdated chat answers after a policy change?Sometimes asked
Re-index immediately, invalidate cached answers on that topic, and optionally notify employees who asked about it recently.
31How does Slack or Teams integration work?Sometimes asked
A bot app receives messages via webhooks, calls the Langflow flow API with the user's ID and session, and posts the answer back with buttons for feedback or escalation.
32How do you avoid the bot giving outdated IT instructions after a tool change?Sometimes asked
Tag knowledge articles with the systems they describe, retire articles when a system is replaced, prefer the newest article when two conflict, and run a periodic check for links and screenshots that no longer match.
